Position Summary

The School of Theology at Saint John’s University invites applications for a part-time (0.5 FTE) benefit-eligible position of Grant Coordinator for Conversatio.

The Grant Coordinator for Conversatio plays a key role in supporting both the Conversatio and Youth in Theology and Ministry (YTM) programs. This position provides administrative assistance to the Conversatio program, helps coordinate the YTM program, and leads fundraising efforts to support YTM’s mission. Working closely with the Director of Pathways Grant, the Grant Coordinator also provides leadership across all aspects of the YTM program while contributing to the overall success of Conversatio initiatives.

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

Administration (60%)

  • Manage the YTM program budget.
  • Coordinate program logistics in collaboration with the Director.
  • Implement marketing materials for Conversatio/YTM across print and digital platforms.
  • Train and supervise staff in youth ministry best practices and safe environment protocols.
  • Evaluate the YTM Summer Institute to inform curriculum development and support fundraising efforts.
  • Assist with pre- and post-program research for both Conversatio and YTM.
  • Collaborate with the Director of Pathways Grant to shape strategic directions for YTM.
  • Coordinate three annual Advisory Council meetings.
  • Support Conversatio’s community life curriculum.
  • Develop curriculum for YTM programming and implement at Summer Institute.
  • Lead planning and execution of the YTM Summer Institute.

Recruitment and Enrollment (20%)

  • Recruit youth for the 9-day YTM Summer Institute, with an annual goal of 40 participants.
  • Recruit undergraduate and graduate staff for the YTM Summer Institute, ensuring the team reflects the diversity of program participants. 
  • Process application for Conversatio cohort members, schedule interviews, and provide administrative support for parish placement logistics.
  • Assist with Conversatio student recruitment through targeted marketing.
  • Maintain and update a database to support recruitment efforts and program-related research.

Coordinate the YTM Latino Outreach (10%)

  • Conduct visits to Latino communities throughout the region to promote the Youth in Theology and Ministry (YTM) program and build awareness
  • Engage with the St. Cloud Diocesan Emmaus program as a potential partner for recruitment and collaboration.
  • Establish and nurture relationships with Latiné students on our campus to support ongoing recruitment efforts and identify future candidates for YTM Summer Institute staff positions.

Fundraising (10%)

  • Meet or exceed YTM fundraising goals through strategic coordination of key efforts, including the annual Seeds of Hope fundraiser, outreach to vocation partners, grant writing, and other development activities that support the mission of YTM.

Other duties as assigned. 

 

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor of Arts degree in theology or related field; master’s degree preferred.
  • Two or more years of ministry experience with adolescents.
  • Proven success in developing creative teaching methods or lesson plans for adolescents.     
  • Competence in program administration including, budgeting, fundraising, strategic planning, supervision of student workers and program evaluation.            
  • Demonstrated ability to work collaboratively with diverse teams to achieve shared goals.
  • Experience in content creation for websites and social media platforms.
  • Knowledge of Catholic youth ministry practice at both parish and diocesan levels.
  • Proficiency in Spanish is preferred to support communication with Spanish-speaking individuals and communities.

PHYSICAL REQUIREMENTS: 

  • Requires working at a computer for extended periods, including typing, reading from a screen, and using various software programs essential for the role.

TRAVEL REQUIREMENTS:

  • Occasional travel for outreach work.
