Overview

A part-time opportunity to provide administrative office support for the Office of General Counsel.  A flexible schedule is available working 10 to 20 hours a week.

Duties and Responsibilities

  1. Review emails with incoming contracts and identify if submission meets OGC requirements.  Enter and track all information related to contracts in Excel spreadsheet; scan contract and email with approval to submitter; and file contract hard copy.  (30%)
  2. Review College driver authorization request emails for accuracy.  Email submitter if more information is needed.  Obtain motor vehicle driver history records and data as requested from online vendor system. Review obtained records for violations. Email driver authorizations to submitters.  Maintain current list of approved drives in Excel spreadsheet.   (25%)
  3. Provide other administrative support as needed, including but not limited to: greet visitors; answer phones; miscellaneous filing; obtain and distribute mail within office; prepare Excel spreadsheets, Adobe PDFs, and Microsoft Word Documents.  Maintain department’s file storage area (organize and cull files, etc.)  (25%)
  4. Enter background check and other College camps and clinics information in Excel spreadsheet. Maintain files for college camps and clinics.  (20%)

MARGINAL DUTIES:
  1. Perform all other duties as may be required.

 

Education and Experience

  • Associate’s degree or equivalent. 
  • Three to five years of related experience or an equivalent combination of education and experience.
  • Intermediate experience with Microsoft Office Suite and Adobe PDF.
  • Basic data entry experience in entering data into a database.
  • Ability to handle more than one task at a time and the ability to handle interruptions.
  • Ability to work effectively and collegially in a small office that serves the larger College community. 
  • Professional and effective written and verbal skills which are essential in communicating with an academic community.
